Sourcing Requests

What Are Sourcing Requests?

Sourcing Requests let you request products that aren't in the standard catalog. Describe what you need, and the procurement team sources it for you.

Click Source in the sidebar to access sourcing requests. This option is only visible if you have the sourcing permission.


Creating a Sourcing Request

  1. Navigate to Source in the sidebar.
  2. Click "+ Create New Request".
  3. Fill in the form:

  1. Click Create.
tip

The more detail you provide, the faster the procurement team can find the right product.


Tracking Sourcing Requests

List View

The main page shows: Request ID, Description, Quantity, Status, and Request Date. Click any row to view details.

Detail Page

Details Card shows all submitted information: status badge, request ID and date, description, quantity, product link (opens in new tab), comments, and image gallery.

Activity Card is a real-time communication thread with the procurement team (see Chat below).


Chat / Messaging

Each sourcing request includes a built-in chat feature for communicating directly with the procurement team. The chat appears as the Activity Card on the sourcing request detail page.

Sending Messages

  1. Type your message in the input field at the bottom of the activity card.
  2. Press Enter to send (use Shift+Enter for a new line).
  3. Your message appears immediately in the conversation thread.

Attaching Files

  1. Click the paperclip icon next to the message input.
  2. Select up to 5 files (max 20MB each).
  3. Send your message -- the files are uploaded along with it.

Attached images display as thumbnails in the chat. Other file types (PDFs, documents, etc.) appear as clickable download links.

Message Types

TypeDescription
UserMessages sent by you or procurement team members. Shows sender name and timestamp.
SystemAutomated messages for status changes and other system events.

How It Works

  • Messages are loaded when you open the sourcing request detail page.
  • The conversation is specific to each sourcing request -- separate requests have separate chats.
  • Both you and the procurement team can send messages and attachments.
  • Use the chat to provide additional context, answer questions about your requirements, or discuss sourcing options.
tip

The more detail you share in the chat, the faster procurement can find exactly what you need. Include specifications, preferred brands, budget constraints, or reference links.
